Dear Member,
An Extraordinary General Meeting of the Members of the Isle of Gigha Heritage Trust will take place on Thursday 21st May at 7pm in Gigha Village Hall.

Purpose:
An EGM is being called to elect directors to the IGHT board. Currently there are three elected (Jane Clements, Tim Lister, Ian Wilson) and three co-opted directors (Fergus Christie, Gordon Watson, Keith Wilson). The IGHT
constitution requires there to be a majority of elected directors for the board to be quorate.

We are therefore seeking members to come forward to join the IGHT board. There are currently four vacancies. To be eligible for election, members should lodge a valid Nomination Form with a biography to the Trust Office
intimating their willingness to be appointed no later than 7pm on Thursday 14th May.

Please note you must be over the age of 18 and a member of IGHT for at least 1 year to be eligible to stand for election.

Voting & Proxy:
Voting will take place in person or by proxy. If you are attending the meeting, you will be asked to complete a Ballot Paper in relation to voting on the evening. If, however, you believe you will be unable to attend the meeting and opt to appoint a Proxy on your behalf, please note the following:

Contact the Trust Office on 01583 505390 or drop in to request a proxy form. You can nominate a first proxy
and a second proxy who will step in should your first proxy not be available. You can choose anyone who you
think will be available to attend the meeting.
Please return your completed proxy form to the Trust Office no later than 7pm on Tuesday 19th May 2026.
You will then be posted out a ballot paper. Please complete the ballot paper and place it in the sealed
envelope, which will be provided.
Hand the sealed envelope to your selected first proxy. They will then submit your vote at the meeting or
hand it to your second proxy to submit if they are unavailable. Please make sure your first proxy is aware of
the second proxy.

To Summarise:
-Nominations should be made by 7pm on Thursday 14th May (Form can be found under Documents/Forms.
- Proxy forms should be returned by 7pm on Tuesday 19th May
- Voting will take place at the EGM at 7pm on Thursday 21st May.

Should there be less than 4 nominations
received, no voting will be required but the meeting will still proceed.
Should you have any queries regarding the processes or require further clarification, please contact the Trust Office.
We look forward to seeing you there.

Yours sincerely
Ian Wilson
